Reviewing a job

Checking the figures, changing lines, and marking a job final.

How do I check the figures?

Open the job's Review step. Each figure opens to show the lines that make it up and the document page each came from. Badges show who decided each line: Agent, You, Rule or Memory.

How do I change a line?

Change its category or judgement on the Review step, in a figure or in the list of lines under the figures. Vedas works the figures out again from your change.

How do I change a figure?

Figures come from your documents and your answers, so you change those, not the figure. To change an answer, open the question or judgement card on the Queries or Judgement calls step and press "Change answer". The form opens with your earlier answer; change it and save. To add a document you forgot, add it on the Documents step. Either way, Vedas works everything out again.

Once a job is unlocked, a re-run from a changed answer or new files may use your firm's balance; Vedas shows the price before it re-runs.

A few answers change elsewhere: the job's settings on the client page, an exchange rate under "Currency conversion" on Review, and a line's coding with "Change" on Review.

Edits you make in a downloaded workbook are not read back into Vedas.

What does Refresh do?

A note you approve on the client, or settings you change, apply to the job's next run. To run it again now, press "Refresh" on the Review step. Vedas runs the job again with the client's current notes and settings, and it uses no credits. The job keeps the chart of accounts it was made with; a new job takes the client's new chart. Refresh is there until the job is final. To refresh a final job, reopen it first.

What are the judgement calls?

The agent makes some calls without asking you, such as how it treated a receipt, or figures it read from a photo or a scan. They show on the Judgement calls step once you unlock the job. Each one is OK unless you choose "Change" and say what it should be. The button says what it does: "Confirm all 3 judgements", or "Confirm 2, change 1". A change goes back to the agent, which works the figures out again. When you mark the job final, you can choose to remember what you confirmed or changed for the client's next job.

How do I tell you a figure is wrong?

On an unlocked job, press Flag next to the line or figure and pick a reason. When a job is final, the Output step asks whether the pack was right. The Vedas team sees weekly counts of these, with no figures, firms or comments.

What is the "Accounts in your chart" card?

When a job uses your own chart, Vedas shows what it takes each account to mean. Press "Change" to edit one, or "Confirm all" to accept them. You need to confirm them before you mark the job final.

How are amounts in other currencies handled?

On a VAT or MTD job with amounts in another currency, Vedas asks one question before it makes the pack. It lists every foreign currency line in one table, by currency. The "Our suggestion" column has the Bank of England rate for the last day of the period and the pounds it gives. Confirm the suggestion or type your own rate, one per currency. Nothing is converted until you do. You can change a rate later in "Currency conversion" on the Review step.

When the real pounds are known, such as a payout that shows dollars and the pounds paid in, or a bank payment in pounds for a foreign invoice, the sale or purchase is at your rate and the difference is an exchange gain or loss. It goes to profit and loss and is outside the scope of VAT, so it changes no VAT box.

Under VAT cash accounting, the boxes use the pounds actually received or paid when they are known, split into net and VAT in the invoice's proportion, each payment on its own date. Under invoice accounting, an invoice not paid by the period end stays at your rate: nothing is revalued.

How do I mark a job final?

When you're happy with the figures, press "Mark as final". Final means your firm has checked and accepted the work. The page then opens the Output step: download the pack there and file through your own software.

Figures a client typed in, if any, need your confirmation before you can mark the job final.

Can I change a job after I mark it final?

Yes. On the Output step, press "Reopen job". The job opens for changes on the Review step. Change an answer or add a document, then mark it final again. The pack gets a new version.

Who is responsible for the figures?

Your firm. You check each job and mark it final. Vedas staff don't see or work on your firm's jobs.
